How the estimate works.
How accurate is the calculator estimate?+
It's a deterministic ballpark. Same inputs always produce the same range. Real proposals come back inside ±5% of the calculator midpoint about 70% of the time. Outliers are usually programs with custom production scope (large LED-wall stages, fly-in entertainment, or multi-property splits) that the calculator can't account for.
What does the estimate include?+
For multi-day programs: room block, F&B, ground transport, programmed activities, AV for gala (if standard or premium activity tier selected), VAT, service charge, gratuity, permits, the DMC coordination fee, and a 5% contingency. Excludes: international flights, participant insurance, and visa fees.
Why does the calculator show a range rather than a single number?+
Real programs have variability that the calculator can't fully resolve without the brief: which specific hotel within the tier, which weeks within the season window, AV specification, custom F&B requirements. The ±15% range captures most of that variability honestly.
What's the DMC fee tier the calculator uses?+
The first-time-agency tier (~20%). For repeat agency clients, our actual quote uses 10-14% on the hybrid pass-through structure, which would shift the calculator output 6-10% lower. For direct corporate buyers it's 25-30%, which would shift it 5-10% higher. Full structure documented at /pricing.
