Most hosts bring 15 to 30 adults, often from multiple countries, and run a 3-night program: arrival dinner, a boat day, the celebration night, and a slow final morning before departure. For 25 adults the core program costs roughly 900,000 to 1,600,000 THB, depending on villa choice, F&B specification, and production scope for the celebration night.

Planning this far out locks preferred villas and gives you time to produce the celebration evening properly: lighting design, entertainment contracting, photographer briefing, and menu testing. Hosts who engage a planner 9 months ahead typically brief once, approve a budget and run sheet, then show up to a finished program. Hosts who wait until 90 days out find limited villa inventory, higher rates, and less flexibility on vendors.

Villa configuration: one large estate or multiple adjacent properties

The first decision is whether to rent one large estate of 10 to 12 bedrooms or two to three adjacent villas. Most groups of 20 to 30 adults choose the second option. Adjacent villas on the same hillside or cove cost 30 to 40 percent less per night than a single ultra-luxury estate, and splitting the group across two properties gives couples privacy while keeping everyone within a 2-minute walk for meals and gatherings.

A single estate works well for groups under 18, or when the host wants one unbroken outdoor dining terrace and a single infinity pool. Large estates on the Choeng Mon headland or in the hills above Bophut charge 450,000 to 850,000 THB for three nights in peak season. Adjacent villa clusters (two 5-bedroom properties or a 6-bedroom paired with a 4-bedroom) run 280,000 to 550,000 THB total for the same period, and villa managers coordinate as one team.

Both configurations include daily housekeeping, a villa manager, and a breakfast chef. Neither includes lunch, dinner, beverages, or event production. Those costs layer on top and typically match or exceed the accommodation spend.

The 3-night shape: arrival, boat day, celebration, departure

Most programs follow this sequence. Day one is an evening arrival from Bangkok or international connections, with a plated dinner at the villa (nothing elaborate, often grilled seafood and Thai salads) and early sleep. Day two starts with a mid-morning departure on a private catamaran or speedboat to Ang Thong Marine Park or the smaller islands off Samui's south coast, such as Koh Madsum and Koh Tan, includes lunch and swimming, and returns by 16:00 so guests can rest before the celebration night. Day three is the milestone dinner, produced at the villa with full styling, entertainment, and documentation. Day four is breakfast, pool time, and departure transfers by early afternoon.

This shape balances activity and rest. Guests arrive jet-lagged, enjoy one active day outdoors, then focus energy on the main event. Extending to four nights adds another boat option or a beach club takeover, but most hosts hold at three to manage budget and keep the weekend tight for guests flying in from Singapore, Hong Kong, Mumbai, or Europe.

Boat charters for 20 to 30 adults cost 95,000 to 160,000 THB for the day, including crew, fuel, snorkel gear, paddleboards, and a BBQ lunch on board. Catamarans are more stable and offer shade; speedboats are faster and reach farther islands. Seas around Samui are usually calmest from March to September. In December and January the northeast wind can still make the east coast choppy, so boat days often leave from the calmer west or south coast. Ang Thong Marine Park closes every year from 1 November to mid-December.

Producing the celebration night at the villa

The milestone dinner is where a planner earns the engagement. Production includes table styling, lighting design, sound system, entertainment, a private chef team, beverage service, photography, and videography. Entertainment varies. A four-piece jazz band runs 80,000 THB for two sets. A solo saxophonist or acoustic guitarist costs 25,000 to 35,000 THB. Hosts occasionally request a cultural performance (Thai classical dance or a fire show), which adds 50,000 to 90,000 THB. Photography and film documentation costs 55,000 to 95,000 THB for a two-person team covering the full evening: candid arrivals, styled table shots, speeches, cake cutting, and dancing. Deliverables include 300 to 500 edited images within 10 days and a 3-minute highlight film. Hosts use this content for thank-you messages and personal archives. The team works unobtrusively, with no staged group lineups unless requested.

What a planner removes from the host's task list

Hosts who self-organize spend weeks on villa negotiation, vendor sourcing, menu approvals, and timeline coordination. A planner condenses that to three touchpoints: an initial brief call, a budget and program approval, and a final walkthrough 48 hours before arrival. Between approval and arrival, the planner handles villa contracts, deposit schedules, boat charter negotiation, chef tastings, entertainment contracting, styling procurement, lighting design, and run-of-show documentation.
