An incentive travel destination is the place a qualifying group travels to as a reward, and the best one for 2027 is the one that fits your group's profile, travel tolerance, program month and budget at the same time. No destination wins on every measure. The useful exercise is to rank your criteria first, then cut the shortlist to the places that pass.
This guide sets out the criteria planners use to decide, the main destination types and what each costs you in trade-offs, where Koh Samui fits, and how to test a shortlist before you commit. If you need the basics of the format first, start with what incentive travel is and how it works.
The six criteria that decide a destination
Start with the group profile before you look at the map. A top-performing sales team of 40 that has done two beach programs in a row needs a different answer than a first-time qualifier group of 150. The table below turns the six criteria into checks you can run before any site visit.
| Criterion | Why it matters | How to check it |
|---|---|---|
| Wow factor for this group | Qualifiers compare the reward against what they would book themselves. It has to feel out of reach. | Review the last two programs the group took. Ask what the group could not easily replicate on a personal vacation. |
| Total travel time from the home market | Long journeys eat program days and shape how people feel on arrival. | Count door to door time, including connections and layovers. Price a realistic routing for each origin city. |
| Season in the program month | Weather decides which activities run and whether you need backup venues. | Check the typical weather pattern for your exact dates, then ask a local DMC what the wet or hot-season fallback looks like. |
| Hotel inventory for the group size | A group that needs 100 rooms or more narrows the field fast. Splitting across properties weakens the experience. | Request room blocks and meeting and dining capacity in writing. Confirm that the full group fits in one property or a tight cluster. |
| Safety and ease | Planners carry the duty of care. Entry rules, medical access and transfer reliability all count. | Check government travel advice for each origin country, visa rules, and the nearest hospital standard. Ask the DMC for an incident protocol. |
| Cost per person | The budget has to cover air, rooms, program and a contingency, and the order of those costs varies by destination. | Build a full per-person model with air included. Compare destinations on total cost. |
Two of these are easy to underweight. Travel time is the first. A destination that looks cheap on the ground can lose that advantage once you add a second connection and an overnight stop. Hotel inventory is the second. Many attractive places have only a handful of properties that can hold a large group with proper meeting and dining space.
Destination types and their trade-offs
Most 2027 shortlists draw from five types. These are general patterns that apply across many places.
Island resort
Strong on privacy and a sense of arrival. Groups stay together, which helps dinners, awards and shared activities. The trade-offs are connections, since many islands need a hop from a hub, and weather exposure in the wet season. Activity variety depends on the island's size.
City plus resort
A city stay followed by a beach or resort stay gives variety and a cultural layer. It also adds a second hotel, a second set of transfers and a day lost to moving. It suits groups of mixed interests. It costs more in logistics and in program time.
Safari
High wow factor and a strong story for qualifiers. Capacity is the constraint. Camps and lodges are often small, so large groups may need to split across several. Transfers can be long, and seasonality is tight. It works best for smaller, high-value groups.
Wellness
Appeals to groups that want rest, and it photographs well for internal communications. It needs full program design beyond a spa menu. It can feel thin for groups that expect social energy and evening programming. For an example of how to structure it, see wellness programming for incentive groups in Thailand.
Adventure
Trekking, diving, rafting and similar programs create shared stories fast. They also create risk and uneven participation. Fitness levels vary, so you need tiered options and tight safety controls. Insurance and operator standards deserve extra scrutiny.

Koh Samui as an island option
Koh Samui is an island resort destination in the Gulf of Thailand with a five-star hotel tier that can host groups of 50 to 200 or more. Halia works on Samui only, so this section describes what we know and where the island has limits.
Who it suits. Australian, Singaporean and European groups that want a beach setting with real depth in hotels, food and activities. Our partner properties include Conrad Koh Samui, Six Senses Samui, Banyan Tree Samui, Anantara Bophut, Four Seasons Koh Samui, W Koh Samui and Le Méridien Koh Samui. For how they compare on group capacity and style, see five-star hotels for incentive groups on Koh Samui.
Getting there. Groups typically route via Bangkok or Singapore, then connect onward to Samui. Check current schedules for each origin city, because routings and frequencies change. Samui's airport is small, so large groups often need staggered arrivals and a transfer plan. Two posts cover this in detail: Bangkok gateway vs direct to Samui and Samui airlift routes and flight planning for groups.
Season. The strongest window runs from January to September. October to December is the rainy season. Programs can run in those months, but they need indoor alternatives and a schedule with built-in flexibility. Read season for incentive travel on Koh Samui and weather and monsoon buffers in Thai program design before you lock dates.
What the island offers a group. Private catamaran and marine park days, beach dinners, gala production, cultural programming and wellness sessions can all run from a single base. A catamaran day is a good example: see catamaran charters for incentive groups on Koh Samui.
Limits. Samui is an island with a relaxed pace, so if your group wants nightlife and shopping at scale, it will feel quiet. There is no direct long-haul service for most origin markets, so the journey is a real factor for European groups. If you are weighing it against its closest regional rival, the comparison is in Koh Samui vs Phuket for incentive travel.
For a full-program budget, incentive programs in this category usually sit between USD 150K and 400K, depending on group size, hotel tier and program length. Hidden costs in Thailand DMC quotes explains what to check in any quote you receive.

How to test a shortlist with a fam trip
A fam trip tests a shortlist against your six criteria in person. Two or three decision-makers visit the finalist destination, stay in the proposed hotel, and run a compressed version of the program. The full format is covered in what a fam trip is and how it works.
Use this order to keep the shortlist honest:
- Cut to three on paper. Use the table above. Remove any destination that fails on hotel inventory or travel time, since those cannot be fixed on site.
- Request written proposals. Ask for room blocks, program outlines and a per-person cost model with air included. Compare like with like.
- Visit the best one or two. Travel from your home market on the routing your group would actually use. Note the real door to door time and how the arrival feels.
- Run the hardest moments. Test the airport transfer, the largest dinner venue and the rainy-day fallback. These are where programs fail.
- Decide with a scorecard. Rate each criterion before you leave the destination, while the experience is fresh.
A site visit costs a small fraction of the program budget. It is the cheapest way to avoid committing 200 or more qualifiers to a place that looked better in a brochure.
Build the 2027 shortlist
Pick the criteria that carry the most weight for your group, rank them, and let them cut the list. Then test the finalists on the ground.
